Manage your daily operations with tasks
Tasks help you organize and track the actions that need to be completed by your team across your properties.
You can create tasks manually for one-time actions or use them as part of automated workflows created from task templates and automations.
Examples of tasks:
Cleaning a property after checkout.
Fixing a maintenance issue.
Preparing a property before a guest arrival.
Following up on a guest request.
Creating a task
To create a new task:
Go to Operations.
Click Create new task.
Add the task details.
Assign the task to a team member.
Click Create task.
When creating a task, you can configure:
Task title
The name of the action that needs to be completed.
Task type
The category of the task, such as cleaning, maintenance, inspection, or another operational activity.
Timing
Define when the task should start.
You can specify:
Start date.
Start time.
Expected duration.
Property
Select the property where the task needs to be completed.
Assigned member
Choose the team member responsible for completing the task.
Priority
Set the importance level of the task to help your team organize their workload.
Managing tasks
All created tasks can be managed from: Operations → Overview
From this page, you can:
View all tasks across your properties.
Filter tasks by property, type, or status.
Check who is responsible for each task.
Update task information.
Track progress.
Each task has a status that shows its current state:
Pending: The task has been created and is waiting to be started.
In Progress: The task is currently being worked on.
Completed: The task has been finished.
Overdue: The task has passed its expected completion time.
Updating a task
You can open any task to view or modify its details.
From the task details panel, you can:
Change the assigned team member.
Update the priority.
Modify task information.
Add proof of completion.
Change the task status.
Proof of completion
Your team can add proof of completion directly to a task.
This can include images or files showing that the action has been completed.
Examples:
Photos after cleaning a property.
Proof that a maintenance issue has been fixed.
Images confirming a preparation task.
Proof of completion helps managers verify completed work without needing additional communication.
Creating tasks from templates
For recurring operational actions, you can create Task Templates instead of manually creating the same task repeatedly.
Templates allow you to define the structure of a task once and reuse it manually or through automations.
For example:
A "Post-checkout cleaning" template can automatically create a cleaning task every time a guest checks out when connected to an automation.
Learn more about this in Creating and managing task templates.
Tasks created by Milo
When using the Milo Operations Agent, Milo can also create operational tasks automatically from guest conversations.
For example:
A guest reports a broken appliance → Milo can create a maintenance task and assign it to the appropriate team member.
You can choose whether Milo:
Creates and assigns tasks automatically.
Prepares tasks for approval before assigning them.
This allows your team to handle guest requests faster while keeping full visibility over operations.
