Keep your operations organized with tasks and automations

Operations helps you manage your team's daily work, coordinate tasks across your properties, and automate repetitive workflows.

You can create tasks manually when something needs immediate attention, or build automated workflows that create tasks automatically based on booking events and predefined rules.

Operations is built around three main concepts:

  • Tasks: Individual actions that need to be completed by a team member.

  • Task templates: Reusable task structures that define how a recurring task should be created.

  • Automations: Rules that automatically create tasks based on specific events.

Creating and managing tasks

Tasks allow you to assign and track operational actions across your properties.

You can create a task manually when you need to handle a specific action.

For each task, you can define:

  • Task title.

  • Task type.

  • Property concerned.

  • Assigned team member.

  • Start date and time.

  • Expected duration.

  • Priority level.

Examples of manually created tasks:

  • Fix a maintenance issue.

  • Check a property before arrival.

  • Request an urgent cleaning.

  • Follow up on a guest request.

Understanding task templates

Task templates allow you to create reusable task structures for actions that happen regularly.

Instead of creating the same task manually every time, you create a template once and reuse it whenever needed.

A task template defines the standard information of a task, such as:

  • Task title.

  • Task type.

  • Instructions or description.

  • Default settings.

Examples of task templates:

  • Cleaning after checkout.

  • Property inspection before arrival.

  • Maintenance check.

  • Restocking supplies.

Task templates can be used in two ways:

  • Create a task manually from the template whenever needed.

  • Connect the template to an automation so Milo automatically creates tasks when specific events happen.

Creating automated workflows

Automations allow you to automatically create tasks based on reservation events.

An automation uses a task template and a trigger to know when a task should be created.

For example:

  • When a guest checks out → automatically create a cleaning task.

  • When a reservation is confirmed → create a preparation task.

  • Before check-in → create a property inspection task.

To create an automation:

  1. Create a task template.

  2. Go to Operations → Automation.

  3. Select the task template.

  4. Choose the event that triggers the automation.

  5. Configure the properties and conditions.

  6. Save your automation.

Once active, Operations will automatically create tasks whenever the defined conditions are met.
