Automate your operational workflows
Task automations help you save time by automatically creating tasks when specific booking events happen.
Instead of manually creating repetitive tasks, you can configure Millenium Connect to create them automatically based on your workflow.
Examples:
Automatically create a cleaning task after a guest checkout.
Create a preparation task before a guest arrival.
Create a welcome setup task when a new booking is confirmed.
How task automations work
A task automation is built using two elements:
1. Task template
A task template defines the task that will be created automatically.
It contains the information needed for the task, such as:
Task name.
Task type.
Description.
Other task details.
For example:
A "Post-checkout cleaning" template can be used to automatically create a cleaning task every time a guest leaves a property.
If you do not have a task template yet, you can create one directly from the automation setup.
2. Trigger event
The trigger determines when the task should be created.
Available triggers include:
Booking confirmed
Create a task when a new reservation is confirmed.
Check-in
Create a task based on the guest arrival date.
Checkout
Create a task based on the guest departure date.
You can also define whether the task should be created before or after the selected event.
Examples:
Create a preparation task 1 day before check-in.
Create a cleaning task 1 hour after checkout.
Creating a task automation
To create an automation:
Go to Operations → Automation.
Click Create a new automation.
Select the task template you want to automate.
Choose the booking event that will trigger the task.
Define when the task should be created.
Click Create task.
Once created, Millenium Connect will automatically generate the task whenever the configured conditions are met.
Managing task automations
From the Automation tab, you can:
View all existing automations.
Edit automation settings.
Duplicate an automation.
Delete an automation.
You can adjust your workflows at any time as your operations evolve.
Task templates and automations
Task templates are the foundation of task automations.
A template defines what task should be created, while the automation defines when it should happen.
For example:
Template: "Deep cleaning after checkout"
Trigger: "Checkout"
Timing: "1 hour after checkout"
Result:
A cleaning task will automatically be created one hour after every guest checkout.
For recurring operational workflows, we recommend creating reusable task templates and connecting them to automations instead of manually creating the same tasks repeatedly.
