Managing expenses

Learn how to create, organize, automate, and track expenses in Millenium Connect. Understand how to assign expenses to properties or owners, use recurring automations, apply taxes, and manage expense records.

Track and manage your property expenses

The Expenses section allows you to keep track of all costs related to your properties and operations from one place.

You can manually create expenses, assign them to specific properties or owners, categorize them, attach supporting documents, and include them in owner statements when needed.

You can also automate recurring or booking-related expenses to reduce manual work and ensure your financial records stay up to date.

Creating an expense

To create a new expense:

  1. Go to Financials → Expenses.

  2. Click Add expense.

  3. Enter the expense details.

  4. Choose where the expense should be assigned.

  5. Save your changes.

When creating an expense, you can define:

  • Name: The name of the expense.

  • Category: The type of expense.

  • Description: Additional notes or details.

  • Assignment: Whether the expense applies to a property or an owner.

  • Amount: The expense value.

  • Recognition date: When the expense should be recorded.

  • Attachments: Supporting documents such as invoices, receipts, or files.

Assigning expenses

Expenses can be assigned in two ways:

Properties

Assign an expense to one or multiple properties.

Examples:

  • Cleaning service for a specific apartment.

  • Maintenance work for a villa.

  • Utility costs related to a property.

Owners

Assign an expense directly to an owner.

This can be useful for expenses that are not linked to a specific property but need to appear in the owner's financial records.

Expense categories

Categories help you organize and filter your expenses.

Available categories include:

  • Cleaning.

  • Maintenance.

  • Repairs.

  • Utilities.

  • Laundry.

  • Guest supplies.

  • Consumables.

  • Internet & Telecom.

  • Furniture & Equipment.

  • Insurance.

  • Taxes & Fees.

  • Marketing.

  • Office expenses.

  • Transportation.

  • Software & Subscriptions.

  • Professional Services.

  • Other.

Including expenses in owner statements

When creating or editing an expense, you can choose whether it should appear in the owner's statement.

Enable Include in owner statement when the expense needs to be deducted from the owner's revenue report.

Example:

A cleaning expense paid on behalf of an owner can automatically appear in their statement and be included in the final calculation.

Automating expenses

For recurring or reservation-based costs, you can create expense automations.

Automations allow Millenium Connect to automatically create expenses based on specific triggers.

Available triggers include:

Reservation confirmation

Create an expense when a reservation reaches a specific stage.

Example:

Automatically create a cleaning expense when a booking is confirmed.

Recurring schedule

Create expenses automatically based on a recurring schedule.

Examples:

  • Monthly internet subscription.

  • Quarterly maintenance contract.

  • Yearly insurance payment.

When creating an expense automation, you can configure:

  • The trigger.

  • Expense name and category.

  • Fixed amount or percentage-based calculation.

  • Tax application.

  • Assigned properties.

  • Applicable channels.

Managing taxes

The Taxes tab allows you to create reusable tax configurations that can be applied to your financial records.

Instead of manually entering tax information every time, you can create tax rules once and reuse them when creating expenses or other supported financial items.

To create a tax:

  1. Go to Financials → Expenses → Taxes.

  2. Click Add tax.

  3. Enter the tax details.

  4. Choose how the tax should be calculated.

  5. Save your changes.

When creating a tax, you can define:

  • Tax type: The type of tax you want to configure.

  • Tax name: The name displayed in your financial records.

  • Apply to: The financial items where this tax can be used.

  • Calculation method: Fixed amount or percentage-based.

  • Amount: The tax value.

Tax calculation methods

You can configure taxes in two ways:

Fixed amount

Apply a specific amount each time the tax is used.

Example:

A tourism tax of 20 MAD per guest per night.

Percentage

Apply a percentage based on the related amount.

Example:

A 10% tax applied to an expense or invoice amount.

Once created, taxes can be selected when creating supported financial records, helping you keep your expenses and financial reports accurate.

Then continue with:

Managing expenses

From the Expenses page, you can:

  • View all expenses.

  • Filter expenses by date, property, category, or status.

  • Edit existing expenses.

  • Review expense details.

  • Delete expenses.

  • Export expense data.

Keeping your expenses organized helps you maintain accurate financial records, simplify owner reporting, and better understand your property's profitability.
